Position Title: Assistant – Academic and Operations Support
Reports to: Executive Assistant to the President - Operations
Full Time: Exempt (Maximum 32 hours a week)
The Assistant–Academic and Operations Support position is responsible for Academic and Operations support with a wide range of tasks. These tasks will include providing operations/administrative support for the Executive Assistant to the President - Operations, facilitating distance learning technology, and assisting with the planning and execution of special events. The position is interim full-time, from November 1 – March 1, 2022, with the possibility of being extended to become a non-fixed term position. Performance reviews will be conducted at three (3) months and end of period.
Experience and skills: Bachelor’s degree with two (2) years’ experience in the following; basic office skills; experience in higher education administration preferred. Familiarity with web-based interaction but specifically Zoom, student management software, and basic MS office programs (Word, Excel, etc). Excellent communication and collaboration skills are required. Ability to follow instruction, but take initiative and follow through with tasks. Must have the ability to multi-task, be detail-oriented and manage several projects at one time.
Specific duties and responsibilities of this position include:
Student Services:
Work with Registrar and program directors to keep student records updated
Participate in production of annual government and accreditation reports
Coordinate with the Director of Recruitment and Enrollment to maintain files for newly admitted students
Academic Support:
Serve as liaison with outside IT services provider and give basic tech support for Zoom and Populi, and standard office programs
Coordinate with faculty and academic staff to ensure the continued smooth running of distance learning programs and technology
Facilitate the maintenance and acquisition of new technology, under direction of the EAP–Operations and EAP-Academics
Operations Support:
Provide support for special events, including workshops, convocation, advent, and commencement
Schedule and manage seminary Zoom meetings as needed, including for Doctor of Ministry Emergent Weeks
